Contract Purchasing Administrator

JOB PURPOSE: JOB FUNCTIONS: # EF % of Time Job Functions 2. EF 40% Procure "off-the-shelf" and made-to-order goods and services. Solicit quotes, analyze prices, discounts, deliveries, review terms and conditions and obtain approval, as necessary and authorize purchase orders. Review, verify compliance and process purchase requisitions and purchase orders. Develop supply chain system queries, run reports. Resolve quantity, price and order accuracy issues. Issue change orders as required. Expedite delivery of goods in shortage situations for critical and/or late orders. 3. SF 10% Assist with PCS web site development and maintenance. Provide web documents and maintain web links and content. Provide Bid Processing and Bid Workflow database training, as needed. Assist in monitoring the process and schedules of contracts and agreements for timing and format. Assist in placing schedules in Outlook and Bid Workflow. Assist in monitoring quality of submitted contracts and agreements. 4. EF 5% Administer the Public Works Less Than $50,000 process. Receive requests from departments, request rates from contractors, prepare letters, set up purchase contracts, process requests and track usage in Maximo. 5. EF 5% Perform supply chain software training and support to customers. Provide timely front line support for employee supply chain questions. Escalates complex technical inquiries as needed. Develop and maintain procedures, manuals, training and reference materials and conduct employee training on the Maximo Purchasing Application. Assist in the development, maintenance and implementation of purchasing, contract administration, and operational procedures. Assist in training District staff on PCS intra/internet usage and preparation of contract document templates used in the contracts and agreements process. 6. EF Ongoing Develop and maintain effective relationships with internal and external customers including Procurement/Contract Services (PCS), employees, contractors and suppliers, state agencies and the general public. Additional Salary Information: In addition to a competitive salary range of $56,800 - $71,000 (based on qualifications, skills and abilities), Chelan PUD employees also enjoy outstanding benefits which include the option of a zero cost medical plan (medical, dental and vision for all eligible dependents), short and long-term disability, Washington State Public Employee's Retirement System, Deferred Compensation (with company matching funds up to 5%), 11 holidays and initial personal leave accrual at 21 days per year.
