UW MEDICINE (UWM) has an exciting opportunity for a A LIMITED TERM APPOINTMENT - PROJECT REPORTING/INFORMATION DELIVERY LEAD to join the UWM-UWFT team.
This position will be REMOTE until the State of Washington lifts the “Stay at Home” order, and UW Medicine provides approval for staff to work onsite. If/when restrictions are lifted, this position will have the option to be 100% remote or be based onsite at the University of Washington Tower, 4333 Brooklyn Ave NE, Seattle and may travel to other UW Medicine locations as required.
The PROJECT REPORTING/INFORMATION DELIVERY LEAD will lead a cross-functional team to maintain a detailed plan for the implementation of reporting and data distribution to support the finance and supply chain modules of the Workday platform and additional UWM reporting requirements across multiple data platforms. The team will facilitate meetings with various subject matter experts to gather and evaluate additional reports missing from the current reporting inventory, determining which reports are available in Workday, which can be retired, and where new development is needed to address gaps.
This role will require close collaboration with the current UW Medicine IT Reporting team and will coordinate across all teams within UW Medicine and the broader UWFT program to ensure seamless interface. This role will have oversight to multiple teams responsible for ensuring reporting business requirements are met including the UWM team developing the new Data Warehouse that will include the finance data from historical systems, Workday data, and comingled data. The following reporting categories are in scope for reporting:
Financial reporting: including auditable financial statements, consolidated financial statements and all other reporting necessary for UW Academy and UW Medicine to demonstrate the financial position and results of operations of all entities across the University Grants reporting: including effort certification and financial reporting to sponsors Management reporting: including budget to actual reports, accounts receivable aging, financial performance reports Operational reporting: including reporting needs for accounting, accounts payable, purchasing, contracting, inventory and logistics Replacement of Finance and Supply Chain components: present in UW Medicine and UW Academy data warehouses and associated reports, analytic tools and visualizations Compliance/regulatory required longitudinal reporting: includes those reports that will require the joining of legacy data to Workday data for required compliance/regulatory needs (e.g., State and Federal)
The PROJECT REPORTING/INFORMATION DELIVERY LEAD is a key resource for the UWM-UWFT team and will contribute to the overall successful outcome.
INFORMATION DELIVERY STRATEGY DEVELOPMENT Coordinate with leadership teams across UW Medicine and UWFT to develop and document high level future state information delivery strategy for finance and supply chain data
PROJECT MANAGEMENT Maintain a detailed Reporting/Information Delivery Project Plan for each phase of the UW Medicine-UWFT program, including key milestones, target dates and resources Ensure all workstreams managing information delivery deliverables have plans that are in alignment and showcase dependencies Track and maintain Risk, Issues and Decisions in Jira Hire and onboard reporting team members based on resource plans Coordinate work efforts and share updates with other UWM-UWFT Project Managers Help ensure there is appropriate UW Medicine representation in reporting related decisions both within Medicine and within the larger FT program Liaison with other Reporting/Information Delivery leads throughout UW
TEAM LEADERSHIP AND FACILITATION Direct the work of a team of analysts in report disposition and development of requirements documentation for future state reports Draft recommendations for rationalization, standardization, and future report types/tools for additional reports added to inventory Facilitate meetings with subject matter experts, stakeholders, and technical staff Coordinate plans for report development, testing, rollout, and support Conduct regular team meetings and meet frequently with project and business stakeholders
REQUIRED Bachelor’s degree in Business or related degree Minimum 6 years' project management experience in large, complex organizations Expertise in formal project management methods and tools Excellent project management soft skills, including ability to earn the trust of stakeholders, tenacious problem ownership, and a dedication to customer advocacy Experience working in ambiguous environments and the capability to document assumptions and continue moving forward Demonstrated experience leading a team, directing work of team members, and providing coaching and feedback when needed Experience with reporting concepts and technologies Experience with architecture of data warehouses Experience in data governance/management Experience in managing implementation triage sessions Experience in leading cross-functional teams Experience working with enterprise systems Experience analyzing complex business processes and configuring associated enabling functionality Ability to work across multiple work streams, departments, and program hierarchies Ability to work and communicate at a leadership level while also having the capability to be analytical when needed and be able to work and communicate at a more technical level as well Ability to work independently and with minimal supervision in a virtual environment Experience facilitating meetings, constructively addressing input and resolving conflicts Working knowledge of phases of the systems development lifecycle Proficiency in MS Office tools Proficiency with virtual meeting tools such as Zoom and MS Teams Excellent verbal and written communication skills with the ability to communicate clearly to both technical and non-technical audiences, at leadership levels and at more tactical levels Ability to understand business and technical design considerations and facilitate problem solving/issue resolution in the context of a customer service framework Ability to create and assimilate business process documentation and reporting specifications Equivalent experience may be substituted for requirements
DESIRED Experience with ERP implementations (Workday or similar application) Experience working at the University of Washington or in a comparable higher education environment Familiarity with BI programming languages (SQL, TSQL) Familiarity with BI Technologies (SSRS, SSAS) Familiar with source code management and tools and processes such as TFS Familiar with report rationalization process
