Supply Chain Management - Logistics, under the Operations Manager, reports to the Executive Director of Supply Chain Management (SCM). From this service division that reports directly to a single manager, new operational groups and units within the groups are formed to become more efficient and effective in responding to changing business demands and expectations in the areas of logistics, i.e. shipping and receiving, asset management and storage including biorepository services, relocation and surplus collection, mail operation, and material distribution and collection.
The Operations Support Generalist, the recommended working title, is able to perform varied tasks pertinent to and in support of SCM - Logistics. In broad terms, the incumbent will act as first resource to field questions and lend assistance to clients and vendors regarding the products, services, and general business aspects of SCM - Logistics and perform tasks to support operations, i.e. Bear Buy purchases and payments, other accounts payable and receivables, ledger reconciliation, equipment repairs and preventative maintenance, general administrative functions.
This unit provides excellence in customer service and administrative support to SCM - Logistics. Customers include other employees within the business unit, as well as the university as a whole. In some instances, there arises the need for direct interactions with vendors and outside service providers as well.
Tasks completed with the operational support unit include, but are not limited to the following: purchasing medical gas, special order gases, commodities and alcohol, postage meter reconciliation and adjustments, demurrage and storage charge review/pickup/updating, monthly ledger reconciliation/corrections, bill payment processing, preparation of check requests, recharge calculation for billing and ledger entries for certain distribution and storage charges not automated through ASCTrac, data entry for processing all invoices and credit memos not covered through Bear Buy or ASCTrac, perform fleet management routine and unscheduled maintenance logistics with outside service provider, perform freezer farm and generator maintenance related duties, invoicing matching against purchase orders and processing for payment, review and order office supplies for entire operation, and answer incoming telephone inquiries from customers for all distribution, storage and mail services.
